New Hire Onboarding Bot for Tax Firm
Anna works in the HR Department of a National Tax Firm and is responsible for onboarding new employees. The Tax Firm onboards 50 new hires each month on average, and it takes Anna 10-15 minutes to manually onboard a single employee. Prior to automation, the onboarding process was incredibly inefficient, requiring Anna to spend substantial time and effort copying and pasting new hire information into the company’s database, manually setting up new user accounts in Microsoft Exchange and Office 365, and determining which application licenses the new hire needed. Let’s walk through the automation:
When a new employee is hired, a ticket is submitted to the company’s HR management system containing the employee’s full name, manager, division, and other relevant details.
The Bot goes into Exchange Admin Center and, with the information from the ticket, creates an Exchange account and Outlook mailbox for the new employee. The Bot then goes into Office 365, verifies the new user’s credentials, and assigns them the proper Office licenses based on their division and position. The Bot creates a profile for the new employee in Active Directory with their email address, job title, and manager.
